OFFICIAL UNIVERSITY MAIL /FLYERS / DISTRIBUTIONS
To Departments and Student Mailboxes

The University of South Carolina Post Office is responsible for
providing services for USC faculty, staff, and students for official
University business only. Mail determined to be of personal nature
(such as checks, bank statements, utility bills, personal packages)
will be returned to the sender. The only exception to the policy is
mail service to on-campus resident students whose mail is delivered
to their residence.
University Intra-campus Mail Service cannot be used by faculty,
staff, students, or outside businesses or organizations for campaign
notices, advertising, solicitation, or for any purpose that is not
determined official University business. No USC mailing list will be
available for use other than for official University of South
Carolina business. (Student organizations may be contacted through
the Office of Student Government & Student Organizations.)

Distributions to Departments and Student Mailboxes
USC Departments, Faculty, staff, students nor student organizations
cannot sponsor or endorse any outside business or organization for
distributions via the University mail system.
- Scheduling Distributions
Must be scheduled at least 5 working days in advance by contacting
Sarah Kelly @ 777-3168 or via email
sarahk@gwm.sc.edu. with the following
information:
- Contact name and number
- A faxed copy of the distribution material (777-8942)
- Desired distribution date
- Distributions and Mail
- Materials Accepted
• 8 ˝” W x 11” paper, tri-folded • Postcards / invitations with a required texture of an .110 index
or 24 to 28 lb. card stock paper
- Distribution Days
Due to incoming and intra-campus mail volume received, distributions
to student boxes are only made Wednesday through Friday except:
- First two (2) weeks of a new term
- Following any break in student mail service (ex. University or
student holidays)
- Political campaign material (student, city, county, state or
national)
- Solicitation for any off campus business or organization
- To USC Departments
- Separate and bundled by Department prior to being received at USC
Postal Service.

- Student Boxes
- All Student Boxes
Do not put names or box numbers on mail or materials
to be
distributed to all student boxes. Contact USC Postal Service (777-3168) for number of copies required.
- Selected Students
All mail and distributions to selected student box numbers must be
put in strict ascending mailbox number order (ex. 80001, 80002,
80003, 80271, 83384, etc) and placed in mail trays.
- Distributions to Student Organizations
Contact the Office of Student Government & Organizations
USC Student Organizations
- Distributions to Student Boxes ($50.00 fee – non-prorated)
- Must schedule distributions to student boxes at least 5 working
days in advance by contacting USC Postal Service @ 777-3168 or via
email with the following information:
- Contact name and number
- Fax a copy of the distribution material to 777-8942
- Distribution date desired
- Method of Payment (Cash, Check or Organization’s USC Account
number for charge back of the $50.00 fee)
The University Postal Service will contact the organization or
department, schedule a distribution date, and notify them of any
appropriate fees that apply.
